Booking Terms & Conditions for SCIC Travel Programs
All study trip programs and tours listed on the web-site are organized and operated in China by SCIC Beijing (Sport & Culture International Co-operation, Beijing China). The Chinese company name is Lileihongwu (Beijing) International Culture Development Ltd.

All travel trips and programs are provided subject to the following conditions:
1. Trip Registration
To make a booking you must send the completed trip registration form to us first. A deposit (non-refundable) must be made into the account provided on the registration form within 7 days after we have received your form.
A formal confirmation of your booking will be sent to you as soon as the registration form and deposit have been received. Please contact us for payment details.
2. Trip Deposits (non-refundable).
Deposit: GBP ¡ê250 per person (UK Applicants) / EUR €300 per person (EU Applicants) / USD$500 per person (USA and other Applicants)
Your trip booking (your application form and deposit) must be made 5 months before the trip starts.
Please note: All deposits are non-refundable. In the event of program cancellation by you, your deposit can be saved and used as deposit for any future SCIC travel or study programs by the paying party or the paying party's friends or family members.
3. Final Balance
Final balance must be paid 60 days prior to departure. We will send you a confirmation /receipt, normally within 7 days of our receiving your trip registration form. If we are unable to confirm your booking, we will immediately refund your deposit.
The confirmation letter will confirm the details of your trip booking and show the outstanding balance, which must be paid no later than 60 days before your departure. The final balance for your program can then be settled, preferably by bank transfer. If absolutely necessary you can pay your final balance on the day you arrive in China (if this is the case, we can only accept cash payments at this point).
Payment for your program can be made in one of three ways: bank transfer, credit card or cash payment (if paying by credit card, please be aware that there is a 4% extra surcharge). For security reasons if you are paying by cash, you can bring travellers¡¯ cheques into the country and convert them in any bank in China when you arrive.
4.Late Bookings
If you miss the deadline for the trip registration, please email or phone us first to check availability. There will be a GBP ¡ê20 (UK applicants) EUR €30 (EU applicants) USD $40 (USA and other applicants) extra charge for late bookings.
Full payment is due on booking. If the booking is made less than 50 days before departure, a guaranteed payment is required.
5. Change your Bookings
We will do our best to accommodate any change of trip details you may request (however we cannot guarantee such requests will be fulfilled).
A) 60 days before the trip
If you are unable to travel for the trip you have registered with us for any reason, you must inform us 60 days before the trip officially starts. You may either transfer your booking to a future trip or to someone else, provided that person is eligible. There will be an extra charge for this: GB ¡ê20 (UK applicants) EUR €30 (EU applicants) USD$40 (USA and other applicants).
B) 30 days before the trip
If you are unable to travel on the trip you have registered with us for any reason 30 days before the trip starts, there will be an extra administrative charge for this: GB ¡ê40 (UK applicants) EUR €60 (EU applicants) USD$80 (USA and other applicants).
6. Cancellation Charges
In the event of you cancelling a confirmed booking (and us receiving written confirmation of your cancellation), the following charges will apply:
8 weeks prior to the start of the trip: 10%
7 weeks prior to the start of the trip: 20%
6 weeks prior to the start of the trip: 30%
5 weeks prior to the start of the trip: 40%
4 weeks prior to the start of the trip: 50%
3 weeks prior to the start of the trip: 60%
2 weeks prior to the start of the trip: 70%
1 week prior to the start of the trip: 80%
3 days prior to the start of the trip: 90%
1 day after the start of the trip: 100%
7. Health Check
Before applying for one of our travel programs, you should have a full health check with your GP in your home country to make sure you are fit and healthy enough to travel. SCIC accepts no responsibility for any incidents arising from pre-existing medical conditions for the duration of the program.
8. Travel Insurance
We require all our participants to purchase adequate travel and emergency medical assistance insurance in your home country before travelling. SCIC accepts no responsibility for costs, penalties or actions arising from participants neglecting to purchase adequate cover.
9. Dates and Fees
All fees quoted on this site are in three currencies: sterling (British Pound), Euros and US dollars, based on the exchange rate of RMB on 29th March, 2009. We reserve the right to change the dates and fees (usually once a year). All fees do not include international flights (return flight tickets from your home country), travel insurance, Visa application fees, tips and personal expenses.
Trip program fees are subject to surcharges such as: government action, currency fluctuation, aircraft fuel or over flying charges, airport charges whether imposed by the airlines or the airport authorities and increases in scheduled air fares. SCIC Beijing is not responsible for any changes in surcharges by any action or authority beyond our control, or of any expenses arising from such.
10. Compensation
If we have to make a significant change or cancel your holiday due to insufficient numbers of participants, through no fault of your own, within 60 days of your departure, you can choose one of the following options:
a). Cancel your holiday and receive a full refund
b). Accept a substitute trip if we are able to offer you one. If the substituted trip is of a lesser value, we will refund you the difference in price.
You will also be offered compensation according to the following scale:
More than 60 days: Nil
45 - 60 days: RMB 200
30 - 44 days: RMB 400
15 - 29 days: RMB 600
0 - 14 days: RMB 800
Note: Compensation does not apply to changes caused by any event we could not foresee or avoid, such as war, civil unrest, terrorist activity, industrial dispute, natural or nuclear disaster, fire or adverse weather conditions, flight rescheduling, and all other similar events outside our control.
11. Complaints
In the event that you are dissatisfied with any aspect of your trip, please report it to your group leader or tour guide, so that the matter could be resolved right away. If the matter cannot be put right on the spot, you must write to us within 10 days of your return. We promise to deal with your complaint fairly and promptly within the terms of this contract.
12. Our Responsibility
To ensure that the services proved by us in a national standard.
We accept responsibility for death, illness or injury which you may suffer on holiday as a result of the negligence of our agents, suppliers or their sub-contractors
(eExcluding any domestic, internal or international carriers), provided they were acting within the scope or in the course of their employment when the accident occurred. Should you suffer any injury, illness or death whilst overseas arising out of an activity which does not form part of the holiday arrangements or excursions through us, we shall at our discretion offer advice, guidance and assistance in the bringing of legal proceedings to resolve any claim you may have against a third party, provided the company is advised of the incident within 90 days of the occurrence. Our authority must be obtained prior to commencement of the proceedings, which are also subject to your undertaking to assign any costs recovered or any benefits received under an appropriate insurance policy to ourselves. Our costs in respect of the above are limited to RMB 50000 Yuan in total.
Any dispute, claim or other matter which arises out of or in connection with your contract or holiday will be dealt with by the courts of Chinese Civil law.
13. Your Responsibility
a) You are responsible for checking the confirmation/receipt and informing us of any errors immediately.
b) You are responsible for booking your return flights and the visa application in your home country, and for taking out adequate travel insurance cover.
c). You are responsible for ensuring you have a valid passport and obtaining an entry visa prior to travel. We cannot be held responsible for any delays or costs as a result.
e). You are responsible for arranging transportation to the airport in your home country by yourself. It is important to arrive in good time in China. We will try to assist you in arranging alternative airport reception if your original arrival time has changed, but we reserve the right to recover from you any costs incurred.
d). You are also responsible for observing the laws and regulations of the country you are visiting.
f). These are cultural and sports trips. You are responsible for following the instructions of your guides, teachers and SCIC members of staff, as well as using common sense and caution at all times. When visiting areas of ethnic minorities, it is important to observe and respect the local customs and traditions.
